How we collect, use and protect your personal data.

We are the “data controller” for the personal data described in this policy.

This policy explains what personal data we collect when you use our website (www.hackneylanegroup.com) or contact us, how we use it, who we share it with, and the rights you have. We process personal data in line with the UK GDPR and the Data Protection Act 2018.

1. The data we collect

We collect only what we need to respond to you and run our services:

  • Enquiry & contact details — when you use our contact form or our website assistant (“Lola”), or email/call us: your name, email address, phone number (if you provide it), and anything you tell us about your project or enquiry.
  • Chat conversation content — the messages you send to Lola, our website chatbot, so it can answer you and (if you ask) help scope a project.
  • Client & project data — if you become a client, the information needed to deliver our services (contact details, business information, and materials you supply).
  • Technical data — basic information your browser sends automatically, such as your IP address, device/browser type and pages visited, held in our hosting provider’s server logs for security and reliability.

We do not use advertising or tracking cookies, and we do not build marketing profiles about website visitors.

2. How and why we use your data

We use your personal data to:

  • Respond to your enquiries and provide the information or quote you ask for;
  • Operate our website assistant (Lola) and, where you request it, capture your project brief and pass it to our team;
  • Provide and administer our services if you become a client (including invoicing and support);
  • Keep our website secure, available and working correctly;
  • Comply with our legal and regulatory obligations.

3. Our lawful bases

Under UK GDPR we rely on the following lawful bases:

  • Consent — when you voluntarily send us an enquiry, message Lola, or otherwise choose to contact us. You can withdraw consent at any time.
  • Contract — where we need to process your data to provide services you’ve engaged us for.
  • Legitimate interests — to respond to enquiries, run and secure our website, and manage our business, in a way that does not override your rights.
  • Legal obligation — where the law requires us to keep or disclose certain records.

4. Who we share your data with

We do not sell your personal data. We use a small number of trusted third-party providers (“processors”) to run our website and services. These include:

  • Vercel — website hosting and delivery (processes server logs, including IP addresses).
  • FormSubmit — delivers contact-form and chatbot enquiry details to us by email.
  • Anthropic — provides the AI model that powers Lola; the messages you send to the chatbot are processed by Anthropic to generate replies. Your chat messages are not used to train their models via this route.
  • Google — we load web fonts from Google Fonts (which receives your IP address to serve the fonts) and use Google Search Console for aggregate search-performance data.
  • Email & business tools — the email and productivity services we use to correspond with you and manage projects.

We may also disclose data where required by law, or to establish, exercise or defend legal claims.

5. International transfers

Some of our providers (for example Anthropic, Vercel and Google) are based in, or process data in, the United States or other countries outside the UK. Where personal data is transferred outside the UK, we rely on appropriate safeguards such as UK adequacy regulations or the International Data Transfer Agreement / Standard Contractual Clauses, so your data receives an equivalent level of protection.

6. How long we keep your data

We keep enquiry and contact data only for as long as needed to deal with your enquiry and for a reasonable period afterwards in case you get back in touch. Client and project records are kept for the duration of our engagement and for as long as required to meet legal, accounting and tax obligations (generally up to six years). We delete or anonymise personal data when it is no longer needed.

7. Your rights

Under UK data protection law you have the right to:

  • Access the personal data we hold about you;
  • Ask us to correct inaccurate or incomplete data;
  • Ask us to erase your data (“right to be forgotten”), where applicable;
  • Restrict or object to our processing of your data;
  • Request a copy of your data in a portable format;
  • Withdraw consent at any time, where we rely on consent.

8. Cookies

Our website does not set advertising or analytics/tracking cookies. Any cookies or local storage used are strictly for essential functionality (for example, keeping the website working correctly). Loading fonts and content from third parties (such as Google Fonts) may involve your browser contacting those services. If we introduce analytics or marketing cookies in future, we will update this policy and, where required, ask for your consent first.

9. Security

We take reasonable technical and organisational measures to protect your personal data against loss, misuse and unauthorised access, including HTTPS encryption in transit and access controls on the systems we use. No method of transmission over the internet is completely secure, but we work to protect your data at all times.

10. Children

Our website and services are aimed at businesses and are not directed at children. We do not knowingly collect personal data from anyone under 16.

11. Changes to this policy

We may update this policy from time to time. The latest version will always be published on this page with an updated date.
